Backup Shared User labels

We have had a query from a user on whether it is possible to backup / restore user labels.

Essentially they have a shared user label that a lot of work has gone into creating and maintaining that works for their business area and they want to know if there are any precautions or actions they can take if the user labels are deleted by a user in error.

    Hi Daniel,

    Out of curiosity, which version of CM?

    In my 10.1 environment, if a user label has an Org as an owner, then the Security/Access menu appears (it doesn't appear to be available with just a User as an owner though).

    I was then able to set the Can Delete permission to be just me as an admin which should stop someone in the group from hard deleting the user label in question.

    I don't know if this is available in other versions as I've never really set an ACL on a user label before.

    From a 'backup' perspective, there are two things to potentially back up.

    One is the 'User Label Structure' itself, what the label is called, what its attached to (Parent Label), the Owner, etc.

    Easiest way to back this one up would be to tag the user labels in question and Print Merge.

    Next backup bit is for the 'attached records'. For this, you can create a search like below (i've got the recursive flag set so it will also find records attached to any labels underneath my 'top level'). For multiple labels under different top structures, you can use an or clause (label A or label B)

    Once you get the list of all records against the labels in question, you can tag all -> print merge and include the 'Attached Labels' property.

    These two together (the user label print merge, and the record print merge) should allow the entire thing to be 'recreated'.

    Yes, we are on 10.1 as well and agree the access controls are a useful tool which I have already recommended to the user and have also used.

    The user just wanted to mitigate some of the risk as we don't allow person locations on access controls, and with staff movements they wanted to know if there was another solution. I'm pretty sure I can work with the 2 print merges to give them some reassurance.
